Installation

Install Omnitas Time Reporting Solution (OTRS in short) by going to monday.com Apps Marketplace.

Note: You need to be a monday.com account administrator to install apps.

This solution consists of:

  • Time Reporting board view
  • Planning board view
  • Workspace Templates containing basic setup for time reporting
  • Integration used optionally in the time reporting/planning board when board permission is set to “Edit content only in items assigned to them in the Person column”

Once installed in the account, the best way to start working is installing Workspace Templates from Template Center. To do that, navigate to any workspace and choose Add -> Choose from templates -> See More Templates.

First time use

Once the templates have been installed, your workspace will contain several boards:

  • Time Reporting board - the view Time Reporting is where the data is entered. Time Approval is a similar view which can be used by managers to approve times by changing Statuses (see Using time reporting view -> Implementing time approval process).

  • Planning board - Planning view is where you can plan a budget - either weekly or monthly.

  • Clients / Projects / Activities boards - these boards define example level 1 to 3 references. You don't have to use all 3 of them (or any of them), and you can use your own nomenclature (e.g. it's perfectly fine to have only 1 level called Tasks). Time Reporting board contains columns referencing these boards. You can also reference your existing boards containing a list of projects, tasks, clients or other entities you want to reference your times against.

Note: These are just example boards and you'll likely want to use your existing ones, change the names, or use less levels of reference.
For example, you may use single level off the board called Projects if your times should be reported per person per project.
  • Personal Holidays / Corporate Holidays boards - boards containing data for holidays. The difference between personal and corporate is that the latter applies to everyone. Time Reporting view can be configured to show both types of holidays.
Note: These are just example boards. You can use your own existing boards to supply this data. You can use as many boards with holiday data as necessary.

How to use Time Reporting view

Time Reporting board contains a preconfigured Time Reporting view. It allows you to enter time for sample clients, projects and activities.

Entering time

Before entering time, you need to add a row containing at least a reference to a Person and 1st level item (e.g. Client).

Entering time is as simple as putting a number in the cell.

Adding notes

You can add a note on the time by clicking "dog ear" in the upper right corner of the cell (it appears when you hover over the cell).

Note: You can only add notes to the cells with data, so enter your time first before adding a note.

To edit or view times for others, add your name to the list of managers in View Settings.

To prevent users accessing other users' data you can use native monday.com board permissions. For details see Using Time Reporting view.
